User Guide - About projects and workspaces |
Projects play a central role in Projectfork. Everything you do is directly related to a project and most features are not accessible if you do not have a project. So the first thing you probably want to do after installing Projectfork is to create a project. Once you have created a project, or once you are a member of a project, you can select it as your current workspace. A workspace defines your current focus or area of activity, meaning that everything you do right now will be associated with the project you have selected as workspace. For example, tasks that you create are automatically connected to the workspace you have selected. And also you will only see tasks of the workspace you have selected. Your current workspace is reflected by the breadcrumbs and the workspace select-list on top of the page.
How do I add users to my project?
There are multiple ways to add users to your project. The first way is when you create or edit a project, you can enter the name, username or email addresses of the people you want to invite in the field below the project description. Projectfork will then send an invitation email. The people you have invited can then decide whether they want to accept or decline the invitation. In order to accept the invitation, the invited person must have an account on your website and must be logged in. The second way to add users is basically the same except that you "force" them to join, by clicking the "Force join" checkbox above the invitation field. However, this is only applicable if the user you want to invite already has an account on your website. Furthermore, the "Force join" option is only available to System Administrators. When forcing a user to join, he will be instantly added to the project without waiting for him to accept the invitation. The third way to add a user to your project is by going to Projectfork -> Users -> New. By default, this option is only available to System Administrators. By creating a new user, you also create a new Joomla account. So make sure the user does not already exist. You can also invite users by going to Projectfork -> Users -> Invite. Note that the users will be invited to the project that you currently have selected as workspace.
How can people join my project on their own?
First, you as the project founder or System administrator have to make sure your project can be seen by others. To do so, edit your project and set "Is public" and "Allow registration" to "Yes". Then, you or another user can request to join the project by going to Projectfork -> Projects -> Project details (just click on the project). There you see a button that says "Request to join this project". By clicking on it, you automatically send a request to the project founder. The Project founder will receive your request per email. The project founder can accept or deny the request by going to Projectfork -> Users -> Join requests.
Approving Projects
By default, projects that have been created by a non-system administrator need to be approved before they become active. You can turn this function off by going to Projectfork -> Config -> Sections -> Projects (Edit). Once a project has been created and needs to be approved, all System administrators will be notified via email. They can then approve or delete the project by going to Projectfork -> Projects (Filter by: Unapproved)
I'm done with a project but I dont want to delete it, what do I do?
Projectfork allows you to archive your projects, which basically makes them invisible. To archive a project project, go to Projectfork -> Projects -> Archive selected projects. You can see your archived projects by using the filter at the top. You can re-activate a project at any time. Note that archived projects cannot be selected as workspace.
Can I create an entire copy of a project structure (template)?
While there is no direct template function in Projectfork, there is a workaround: Simply create a project which should act as a template. Then select it as your workspace and create all the standard tasks and milestones you need. You can also add groups and users that should be in your template. Once you're done, go back to Projectfork -> Projects and archive your designated project template so that it's out of your way. Now you can filter the project list by "Archived" and copy the project as many times as you want. You can then activate these copies and rename them. By default, Projectfork will automatically also copy all tasks, milestones, groups and users of the project you are copying. You can change these settings by going to Projectfork -> Config -> Projects (Edit)
